Setting Up Your Workspace

Setting up an account

Step one: Click the link https://kaituhi.nz/

Step two: Choose 'Sign up'

Step three: Fill out the appropriate prompts as shown below. Once completed click 'Sign up'

Final step: You will receive an email asking you to confirm your registration. Follow the instructions provided. 

Once verification is confirmed you will be redirected to your empty Dashboard, ready for you to start uploading. If a workspace has been set up for your organisation, you will be automatically be added.

Shared Workspaces

Shared workspaces allow for teams and organisations to work collaboratively. Teams and New Folders can be created to organise projects and associated audio files and transcripts and support appropriate workflows and features tailored to each project.

Creating a new team:

Under your shared workspace you have the option to create a new team, click the button 'New Team' and fill in the name and descriptions, as shown below. 

Once your new team is created you can then add team members and create separate folders. 

Adding team members:

Adding team members is easy as clicking the + at the end of the list of users and adding the email address that they have used to set up their own account. 

Creating a folder:

Similar to creating a team, click the 'New Folder' button, and fill in the name and description as shown below. 

Once your folder is created you will be taken to the page shown below, where you can create and upload your transcripts.

Uploading files

When you are ready to upload your first file, click on 'Upload' in the top right corner of your screen. 

Following this you will be taken to the screen shown below, where you can select the Primary Language of the audio, Workspace and Folder you would like your file to be uploaded to. You have the option of dragging and dropping your file, or selecting from your device.

You will see that you can upload multiple files at once. Currently the platform supports .mp3, .mp4, .m4a, and .wav formats. 

Information Cards

When your upload is complete you will see an information card appear in your dashboard which gives some at a glance stats and info for each of your audio files. These include:

  • File name 
  • Status bar
  • Assigned transcriber
  • Assigned reviewer
  • A completed % to track progress 
  • A reviewed % to track reviewers

The three dots in the right hand corner will provide you with options to Delete or Move your file, undertake a Text analysis and Set the Primary Language

To View your transcript, just click on the card. 

Functions

The Status bar is a helpful way to colour code and organise files. When your file is uploaded it will automatically set the status to To Transcribe. You can change this as you see fit by clicking on the status bar, the options below will be available for you to choose from. 

If you are working in a team workspace, you can assign files to a transcriber and a reviewer by clicking 'Change', choosing your nominated team member and then clicking 'Assign'

The Text Analysis function as mentioned above will provide a list of the top ten most common words in your transcript. This can be a helpful first glance at what might be the primary topics of your transcript and useful for cataloguing them.
